What to put on a receipt
- A receipt number so the payment can be traced.
- The date the payment was received.
- Who paid and what they paid for, with quantities and prices.
- The amount received, with tax shown separately if you charge it.
- How it was paid, such as cash, card, bank transfer or mobile money, and the transaction reference or code.
- Your business details and, if registered, your tax ID.
Full-page receipts and till slips
Choose a full-page design (Studio, Banner or Minimal) on A4 or US Letter for receipts you email or file, or the Till slip design, an 80 mm wide receipt that grows with the number of items, like the ones printed at a shop counter. Till slips print on standard thermal receipt printers and look natural on a phone screen.
How to make a receipt
- Add your business details and logo; they are saved for next time.
- Enter who paid, then the items and prices.
- Set the date paid, how they paid and the transaction reference, such as an M-Pesa or card authorisation code.
- Pick a design and click Download PDF.
Receipts as proof of purchase
Customers keep receipts for returns, warranty claims and their own accounts. Add a warranty or returns policy from the Terms menu, for example “1-year warranty against manufacturing defects” or “Returns within 14 days with this receipt”, so the conditions are written on the document they keep.
Receipt or paid invoice?
Both prove payment. A receipt is the usual choice for over-the-counter and cash sales. For business customers who expect an invoice, you can instead mark the invoice as paid, which adds the payment date and a Paid label.
What to include on a receipt
- The word “Receipt” and a unique receipt number.
- Your business name and contact details, and your tax ID if you are registered.
- Who paid: the customer’s name, if you know it.
- The date the payment was received.
- What was paid for, with quantities and prices.
- The total received, and tax shown separately where it applies.
- How it was paid (cash, card, bank transfer, M-Pesa, PayPal) and the transaction reference.
Full-page receipt or till slip?
Choose a full A4 or Letter receipt for services, bigger purchases and anything a customer may need to claim as an expense. Choose the Till slip design for an 80 mm receipt printer at a counter: it prints as one long narrow strip with your logo centred and the total in large type. Both are made from the same details, so you can switch at any time.
A worked example
Joy sells handmade soaps at a weekend market and online. A customer pays KSh 2,400 by M-Pesa for six bars. Joy opens the receipt generator on her phone, picks the customer from her saved list, adds the item (it remembers her price), chooses “M-Pesa” as the payment method and pastes the transaction code as the reference. She taps Share and sends the PDF to the customer on WhatsApp. The receipt is saved under Documents, numbered RCT-0128, the next number after her last one.
Receipts and the law
In many countries, VAT-registered businesses must issue specific tax receipts or invoices, sometimes through a government system (for example KRA eTIMS in Kenya, or electronic fiscal devices in Tanzania and Uganda). A SmallKits receipt is a clear proof of payment for your customer and your records, but it does not replace a fiscal receipt where one is legally required. If you are not registered for tax, simply do not add tax.
Tips
- Give a receipt for every payment, even small ones. It prevents “I already paid” disputes.
- Always record the M-Pesa, bank or card reference so payments can be traced.
- If you invoiced first, mark the invoice as paid, or make a receipt from it in Documents so both share the same details.
- Download a backup from Advanced settings now and then; receipts are stored only in your browser.
