Who needs rent receipts
Tenants need rent receipts as proof of payment, for tax relief (such as House Rent Allowance in India), visa and loan applications, and in any dispute about arrears. Landlords need them to keep honest records and to avoid arguments about what was paid. A clear receipt each month is the simplest way to keep a tenancy friendly.
What a rent receipt should contain
- The landlord’s name (and tax ID where required) and the tenant’s name.
- The address of the rented property.
- The rent period, such as October 2026.
- The amount received, in figures and in words.
- The date received and the payment method, with a reference for bank or mobile payments.
- A receipt number, and the landlord’s signature.
SmallKits writes this as a clear statement: “Received from Priya Sharma the sum of ₹45,000 (Forty-five thousand Indian rupees only) towards rent for Flat 4B, Lakeview Apartments for October 2026”, followed by a small table and the signature.
Twelve receipts in one go
Choose a From and To month and SmallKits makes one receipt per month, each with its own number in sequence and dated on the same day of each month as the date you choose. Change the amount for any month, for example a pro-rata first month or a rent increase. Everything comes out in one PDF, one receipt per page, or two per page to save paper.
India: rent receipts for HRA
Salaried employees claiming House Rent Allowance usually submit rent receipts to their employer. Common requirements are the landlord’s name and address, the tenant’s name, the rent period and amount, and the landlord’s signature. If annual rent exceeds ₹1,00,000, the landlord’s PAN is generally required: add it as the landlord’s tax ID. Some employers ask for a revenue stamp on receipts for cash payments above ₹5,000; you can add a revenue stamp box under Advanced settings. Check your employer’s current rules.
Other countries
In the UK and US, landlords should give receipts for cash rent, and some US states require them. In Kenya and Nigeria, many tenants pay by mobile money or bank transfer: add the transaction code as the reference. In France, a landlord must provide a free quittance de loyer if the tenant asks; switch the document language to French.
Saved tenants
Each tenant is remembered with their property, so next month you only check the month and download. “New” keeps the tenant, property and rent and moves you to a blank receipt.
Common mistakes
- Leaving out the property address or the period.
- Mismatched figures and words. SmallKits writes the words from the figure, so they always agree.
- Back-dating receipts. Issue receipts when rent is actually received.
A worked example
Priya pays ₹45,000 a month for a flat in Mumbai and needs receipts for April to March to claim HRA. Her landlord opens the rent receipt generator, enters Priya as the tenant and the flat’s address, chooses April 2026 to March 2027 and ₹45,000 a month, and adds his PAN as his tax ID because the annual rent is above ₹1,00,000. In April the rent was paid on the 5th, so every receipt is dated the 5th of its month. Twelve numbered receipts come out in one PDF, each with the amount in words and his signature.
Rent receipt terms explained
- HRA
- House Rent Allowance, part of many Indian salaries; tenants use rent receipts to claim tax relief on it.
- PAN
- India’s Permanent Account Number; employers usually ask for the landlord’s PAN when annual rent exceeds ₹1,00,000.
- Revenue stamp
- A small stamp some employers in India expect on receipts for cash payments above ₹5,000.
- Pro-rata rent
- Rent for part of a month, for example when a tenant moves in mid-month.
- Arrears
- Rent that is overdue from earlier months.
If you collect rent for several properties, add each tenant once. Their property address is remembered with them, so each month’s receipt only needs the month.
Receipts are numbered RR-0001 onwards, and every batch you download is kept under Documents in this browser.

One more tip
If you collect rent by bank transfer or mobile money, issue the receipt as soon as the payment arrives and include the transaction code. Tenants appreciate it, and it saves both of you from searching statements later.
